This is what your day will look like:
As a Customer Service Administrator, you'll be at the center of customer support and order management activities. You'll be one of the first people customers, visitors, and team members interact with each day, helping ensure orders are processed accurately, communication flows smoothly, and customers receive exceptional service.
Service & Communication
- Serve as a primary contact for customers, providing professional and timely support.
- Answer and direct incoming calls through the main phone line.
- Communicate effectively with customers regarding order status, changes, or concerns.
- Build positive relationships with customers through responsive service.
Cross-Functional Collaboration
- Partner with Sales, Warehouse, Logistics, and other internal departments to support customer needs.
- Coordinate with external warehouse partners regarding customer accounts and orders.
- Communicate account updates and relevant information to the Sales team.
- Provide support and backup assistance to Customer Service team members as needed.
Administrative Support
- Greet visitors and provide front desk support for the Battleboro facility.
- Invoice customer purchase orders through external web portals.
- Maintain organized and traceable filing systems for customer purchase orders.
- Create and maintain hard-copy customer files.
- Update weekly reports for the Sales Department.
- Assist office staff with administrative tasks and special projects.
Daily Success in the Role
- Stay organized while managing multiple priorities.
- Identify and communicate potential issues before they impact customers.
- Support department initiatives and continuous improvement efforts.
- Perform additional duties and projects as assigned by leadership.
This is what we expect from you:
- High School Diploma or equivalent.
- Previous customer service or administrative experience.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Exceptional attention to detail.
- Ability to thrive in a fast-paced environment and manage multiple priorities.
- Strong problem-solving skills and a proactive mindset.
- Proficiency in Microsoft Office, especially Excel.
- Team-oriented attitude with a willingness to support others.
- Experience with EDI systems preferred.
- Inventory, purchasing, and QuickBooks experience is a plus.
